Cape Cod Harley-Davidson® is looking for an upbeat and reliable Service Writer/Advisor to intake customer vehicles, diagnose problems and service needs, schedule work, assign jobs to service technicians and communicate job status to customer.

The Service Writer plays a critical role in the success of the Service Department and Cape Cod Harley-Davidson® as a whole. We are looking for someone with exceptional communication, sales and customer service skills, as well as the ability to build trust between the Service Department and the customers.

Job Responsibilities Include, but are not limited to:

  • Schedule service appointments. Obtain customer and vehicle data before arrival when possible.
  • Greet customers in a timely, friendly manner
  • Diagnose problems accurately, and clearly describe them on the repair order
  • Provide complete and accurate written cost estimate for labor and parts. Establish "promised time".
  • Assign jobs to technicians based on skill level and current resource utilization
  • Review work-in-progress to ensure quality and timeliness. Check on the progress of repair throughout the day. Contact customers regarding any changes in the estimate or promise time, explain cost and time requirements in detail and get proper authorization before any additional repairs are performed.
  • Determine correct part numbers on repair orders
  • Sell additional services by pointing out service specials or additional work needed
  • Handle customer complaints reasonably with a positive attitude
  • Give special attention to repeat repairs to ensure the situation is corrected
  • Set customers’ expectations to a level where they will likely be met

Qualifications & Requirements:

  • Superior communication and customer service skills
  • Experience in a dealership position preferred
  • General knowledge of motorcycle mechanical operations and Harley-Davidson motorcycles
  • Experience with point-of-sale and Parts and Service management computer software preferred
  • Current, valid motorcycle license
  • Friendly and outgoing personality
  • Ability to work weekends is required
  • Physical ability to bend, stoop, crouch, reach, handle tools, lift 60 pounds of material and to push an  850+/- pound motorcycle

In this position, you'll be around motorcycles all day -- lucky you! Daily tasks may include moving motorcycles to where they need to be (driving or pushing), coordinating logistics for the shop, and getting things ready for the Service Techs. You will be assisting in general shop duties, as well as helping to maintain a clean and organized work environment. This job may be physically demanding, so we hope you like to stay active!

The Office Admin/Accounting Assistant plays an important role at our dealership to maintain financials and an efficient office environment. He/she works directly with the Controller to assist maintain the books and records of the dealership, comply with H-D® and regulatory requirements, and provide financial reporting and analysis.

Accounting Processes & Systems

  • Follow the accounting policies, practices, standards and controls of the dealership and assist the maintenance of all books and records recording dealership assets, liabilities, ownership investments and revenue and expense transactions.
  • Assist in resolving accounting issues as they arise in the daily processing of dealership transactions.
  • Recommend and implement changes to continuously improve systems and financial performance.
  • Prepare special financial analyses as directed by management and the controller.
  1. Cash Management and Regulatory Compliance
  • Assist with compliance with taxing authority regulations, the filing of all required tax returns and reports, and the remittance of all tax payments on a timely basis.
  • Assist with compliance with Department of Motor Vehicle regulations, the filing of all required reports, and the remittance of all payments on a timely basis.

Auditing & Report Writing

  • Assist the investigation of any anomalies noted in dealership books and the preparation of general journal entries to adjust accounts and reports to appropriate amounts.
  • Assist review reports on the Harley-Davidson Dealer Dashboard for accuracy.  Download, print and distribute Dealer Dashboard reports for dealership managers and assist them with evaluation of dealership performance relative to comparative aggregates.

Financial Analysis

  • Aid in the preparation of periodic financial, statistical, and graphical reports that summarize the dealership’s financial position and results of operations for each accounting period.
  • Prepare special financial analyses as directed by management.

Qualifications & Job Requirements include:

  • Superior verbal and written communication skills
  • Must have the ability to get along with a broad employee base.
  • 2 years minimum experience working in accounting.
  • College degree with a major in accounting is preferred.
  • Proficiency with at least one accounting software program – Peachtree preferred.
